Hydro-Suite Policy

PLEASE READ THE STUDIO’S HEALTH DISCLAIMER IN ADDITION TO THE HYDRO-SUITE POLICY.

1. SESSION CANCELLATIONS

1.1- Clients must cancel 8 hours in advance of their scheduled session to avoid losing their credit. If they fail to cancel within this window, the session will be deducted from their account. If they are late to the session and unable to get into the building, this is considered a no show.

1.2- All no-shows are subject to the loss of the respective session credit and an additional $10 fee. This policy is implemented in fairness to our community members who consistently attend their scheduled hydro-suite sessions (including cold plunge, sauna, etc.) and those on waitlists. By enforcing this fee, we aim to maximize the availability and efficient use of our treatment room, ensuring that reserved time slots are utilized effectively. This approach allows us to maintain a fair and efficient system that benefits all members of our wellness community, while respecting the limited capacity of our specialized facilities.

2. WAIVER AND PRE-SCREENING REQUIREMENTS

2.1- All members are required to sign an electronic waiver via Momence prior to using our hydro-suite and treatment rooms. This waiver ensures that you acknowledge and accept the terms and conditions of using our facilities, including any associated risks.

2.2- If you are bringing a guest under a booked duo session, the guest must manually fill out a waiver at the front desk upon arrival. Additionally, guests will be subject to pre-screening questions to ensure they meet our health and safety standards. This process helps us maintain a safe and enjoyable environment for all users.

2.3- Compliance with these requirements is mandatory. The electronic waiver and pre-screening process are crucial for Ensuring the safety and well-being of all members and guests, maintaining accurate records for liability purposes and providing a seamless and efficient experience for everyone.

We appreciate your cooperation in adhering to these policies, as they are designed to protect and benefit our entire wellness community.

3. Pregnancy and Breastfeeding Safety Policy

3.1- Due to potential risks associated with extreme temperatures and water immersion, pregnant women and breastfeeding mothers are advised to exercise caution when using our hydro-suite therapies, including cold plunges and infrared saunas.

3.2- Hydro Suite Risks for Pregnant and Breast Feeding Women

3.2.1- Cold Plunge: Pregnant women should avoid cold plunges entirely, as sudden temperature changes can potentially affect fetal well-being.

3.2.2- Infrared Sauna: Pregnant and breastfeeding women are advised against using the infrared sauna due to the risk of overheating, which may impact fetal development or milk production.

3.2.3- Other Therapies: Use of additional hydro-suite therapies during pregnancy or while breastfeeding should be discussed with and approved by your healthcare provider before use.

We prioritize the safety of expectant and new mothers, as well as their babies. If you are pregnant or breastfeeding, please consult with your healthcare provider before using any of our hydro-suite facilities. Our staff is not qualified to provide medical advice regarding the safety of these therapies during pregnancy or while breastfeeding.

By adhering to these guidelines, we aim to ensure the well-being of all our members and their families.

4. ATTIRE AND HYGIENE

4.1- Proper attire of a swimsuit must always be worn while using the treatment room facilities.

4.2- Clients must remove all shoes before entering the studio for treatment room use. No street shoes are permitted.

4.3- Showering and rinsing the body is mandatory before entering the cold plunge or infrared sauna to maintain hygiene.

5. AMENITIES AND TOWEL SERVICE

5.1- One full-size towel is provided complimentary to each client for their treatment room booking.

5.2- Additional towels beyond the first can be rented at a fee of $3 per towel.

6. FACILITY USE

6.1- For safety, clients must familiarize themselves with the location of the panic button in the treatment room upon arrival.

6.2- Clients are required to respect the allotted treatment room time and ensure the room is left in a tidy, undamaged state after use.

6.3- Any damage or unclean state of the room after a client's use may result in fees to cover cleaning/repairs.

7. TARDINESS POLICY

7.1- Treatment room bookings are in 30 or 60 minute increments.

7.2- Clients arriving more than 10 minutes late to their scheduled booking will forfeit their appointment time.

7.3- To minimize disruptions and provide the best possible experience, clients arriving more than 10 minutes late to a session will not be permitted to enter the treatment room.

7.4- While we understand that unforeseen circumstances can sometimes delay arrivals, sessions will begin promptly at the scheduled times. Latecomers arriving after the 10-minute grace period has elapsed will need to reserve another session.

8. MEMBERSHIP AND HYDRO-SUITE SESSION CANCELLATION POLICIES

8.1- All hydro-suite options are purchasable as single drop-in sessions or multiple session packs.

8.2- All bookings require cancellation at least 6 hours in advance to avoid charges. Failure to cancel within this window will result in the treatment credit being deducted from your autopay membership or treatment-session pack, or deemed non-refundable for single-session purchases. Late arrivals unable to access the studio are considered no-shows and are not eligible for refunds.

8.3- All no-shows will result in the loss of a treatment session from your membership or treatment-session pack. If your treatment was purchased as a single-session purchase, this will result in your session being deemed non-refundable.

8.4- Late cancellations or no-shows are not tolerated. In fairness to the rest of our community, there are no exceptions.

9. BILLING CYCLES

9.1- Monthly treatment sessions booked via autopay Pilates memberships do not roll over to the next month. Credits must be used within the billing cycle month. Credits will not be pulled from the next month or vice versa.

9.2- The billing cycle is based on the initial date of purchase OR your first booked treatment session. Payments will recur on the same day monthly. For more information on when your billing cycle occurs please refer to your particular autopay membership or class pack.

10. ETHICS

10.1- We enforce a strict "no tolerance" policy for discriminatory or harmful behavior based on race, gender identity, age, religion, disability, sexuality, language, or body shape. Please refer to the full Anti-Discrimination Policy.

10.2- We are committed to providing an environment free of discrimination and harassment, where all individuals are treated with respect and dignity, can contribute fully, and have equal opportunities.

10.3- Under the Ontario Human Rights Code, every person has the right to freedom from harassment and discrimination based on the following grounds: race, ancestry, place of origin, colour, ethnic origin, citizenship, creed, sex, sexual orientation, gender identity, gender expression, age, marital status, family status, disability, and record of offences.

10.4- Discrimination and harassment can take many forms, including derogatory comments, slurs, jokes, gestures, exclusion, adverse treatment related to the protected grounds, or the creation of an intimidating, hostile, or offensive environment.

10.5- Valeo Pilates will investigate all complaints promptly and take appropriate corrective action up to and including termination for proven violations. Retaliation against anyone involved in reporting or investigating discrimination/harassment is strictly prohibited.

11. ADDITIONAL IN-STUDIO HYDRO-SUITE POLICIES

11.1- All clients must electronically sign our waiver before participating in the use of the treatment room. If participating in a duo-session, the additional guest must sign in at the front desk and manually sign a waiver that includes a pre-session health screening.

11.2- Clients must be 18+ and possess the capacity to consent in order to use the treatment room.

11.3- Clients must notify a supervisor if they are leaving from their session early whether due to a medical ailment or other non-related physical reason.

11.4- Clients must leave shoes on entry mats, do not walk through the studio in street shoes.

11.5- Full payment is required upon registration to reserve a session.

11.6- There are no refunds once treatment sessions are booked.

11.7- Current vaccination requirements will be followed per government mandate.

12. HEALTH TRANSPARENCY AND FACILITY USE

12.1- Clients must not use the facilities if they have any known or suspected health conditions that could affect their well-being or that of others. This includes, but is not limited to, communicable diseases, viral, bacterial, or fungal infections, open wounds, contagious skin conditions, respiratory infections, gastrointestinal illnesses, or any condition compromising the immune system. If unsure about their health status, clients should consult a healthcare professional before using the facilities. The facility reserves the right to deny access to individuals who appear to be in ill health or pose a risk to others.

12.2- Clients are required to inform the studio if they or someone they live with has been experiencing any symptoms of illness before coming to the studio.

12.3- Clients are encouraged to use the Ontario COVID-19 Self-Assessment Tool if they are unsure about their health status.

13. WAIVER OF LIABILITY

By entering the treatment room facility, you agree to abide by all the policies listed above. Valeo Pilates is not liable for any injuries, health conditions, or adverse effects that may occur during the use of the treatment room facilities. Clients use the facilities at their own risk and are responsible for their own health and safety.

14. ACKNOWLEDGEMENT

By entering the treatment room facility, you agree to abide by all the policies listed above. Violations may result in removal from the premises and termination of services. We appreciate your cooperation in making this a safe and welcoming environment for all.
